THE CHALLENGE

Pacific Automation wanted to give their sales team better tools to succeed by providing real-time access to important business data, like quotes, invoices, inventory, and customer accounts, without requiring direct access to their SAP B1 ERP system. They envisioned the Zoho CRM as a central hub and source of truth, where their team could easily view up-to-date, read-only data that could inform efficient and effective decision-making. However, their SAP contained large and growing volumes of complex, linked data—orders, quotes, invoices, multi-warehouse inventory, and more! Manual data entry was not an option, and so Pacific Automation needed an automated solution to synchronise SAP data with the CRM.

THE SOLUTION

We constructed an integration to provide real-time, one-way synchronisation of quotes, invoices, orders, inventory, products and customer accounts, directly from SAP B1 into the Zoho CRM. For Pacific Automation, this ensured the sales team had instant, reliable, read-only access to the all information they needed while maintaining SAP’s security and centrality.

The integration preserves SAP data perfectly in Zoho, including critical data relationships: customers, orders, quotes, and invoices that are linked in SAP are also linked in Zoho, ensuring a complete, holistic view of business transactions. What’s more, our solution is built to handle high data volumes, easily managing tens of thousands of records, including multi-warehouse inventory and an extensive product catalog, whilst respecting the performance limits of both systems.

Additionally, the solution included custom data formatting and calculations, enabling enhanced financial and operational insights directly within the Zoho CRM. By centralising this information, sales reps could easily access critical business data on the go, simplifying their workflows and allowing them to focus on delivering exceptional service. With Zoho CRM now serving as a user-friendly and powerful central hub, Pacific Automation’s sales team is better equipped to succeed in their roles.
